Privacy Policy

We collect account information you provide when you sign up, including your name, email address, and account details.

We collect business data you enter into Arkoda, including profile details, business context, goals, documents, and related operational information.

We collect usage analytics about how you use the platform so we can improve performance, security, and product experience.

Payments are processed through Stripe, and we receive payment-related details needed to manage billing and subscriptions.

AI conversation data may be reviewed and used to improve future versions of Arkoda's self-hosted AI models. You may opt out of training-data inclusion at any time by emailing privacy@arkoda.app or via account settings under Privacy Preferences. Opt-out applies to future training runs; conversations already included in past training runs cannot be retroactively removed but no personally identifiable information is retained in trained model weights.

We use your information to provide AI advisory services and operate the Arkoda platform.

We use your information to personalize recommendations, workflows, and platform experiences.

We use payment information to process subscriptions, billing, and account management.

We also use information for fraud prevention, security monitoring, and service integrity.

We never sell your personal data.

We may share information with Stripe to process payments and manage subscriptions.

We may share information with MailerLite to send service emails, updates, and communications you have requested or agreed to receive.

We use Cloudflare for content delivery and edge caching.

We use RunPod and Modal for AI model inference (your prompts are sent to these providers for processing only).

We use Pinecone for vector memory storage.

We use Airtable for user account data and operational records.

We use Mixpanel for product analytics (anonymized usage events).

We use Plaid to securely connect to user bank accounts when financial integration features are used. Plaid is read-only and bound by their security and privacy commitments at plaid.com/legal. We do not store bank credentials.

All subprocessors are bound by contractual data protection terms equivalent to or stricter than the protections in this Privacy Policy.

We may disclose information when required by law, regulation, legal process, or to protect rights, safety, and security.

Certain features — including voice onboarding and voice-based setup available on higher tiers — may collect a voice sample, which can constitute biometric information under laws such as the Illinois Biometric Information Privacy Act (BIPA) and similar state laws.

Purpose: we use voice samples solely to enable the voice features you choose to use (such as voice onboarding and voice personalization). We do not use voice biometrics to identify you for any other purpose, and we do not sell or rent biometric data.

Consent: we collect a voice sample only after you provide explicit, opt-in consent at the point of capture. You may decline and continue to use text-based features.

Retention & deletion: voice samples are stored in access-controlled, private storage and retained only as long as needed to provide the feature or as required by law. You may request deletion of your voice data at any time by emailing privacy@arkoda.app; we will delete it within 30 days of a verified request.

Sharing: voice samples are processed by our self-hosted and inference subprocessors (e.g., RunPod, Modal) for the sole purpose of delivering the feature, under contractual data-protection terms. We do not disclose biometric data to third parties for their own use.

Networking features (such as Arkoda Connect / Business Network) may match you with other businesses. We do not share your contact information with another user unless you provide explicit, opt-in consent for that specific introduction. Both parties must consent before any contact details are exchanged.

You may decline any proposed introduction, and you may withdraw consent for future introductions at any time through your account settings or by emailing privacy@arkoda.app.

We encrypt your data in transit (TLS). Stored data is kept on access-controlled servers; full at-rest encryption is not yet enabled, and we will update this notice when it is.

We apply internal access controls and limit access to authorized personnel and systems that need it to operate the service.

If you are a California resident, you may have the right to know what personal information we collect, use, disclose, or retain.

You may request deletion of eligible personal information we hold about you.

You may opt out of the sale of personal information; however, we do not sell personal information.

You have the right to non-discrimination for exercising your privacy rights.

If you are located in the European Economic Area or the United Kingdom, you have the right to access, correct, delete, restrict processing, port, or object to processing of your personal data.

You may withdraw consent at any time where processing is based on consent.

Our legal basis for processing: contract performance (delivering the service you signed up for), legitimate interests (security, fraud prevention, product improvement), and consent (marketing communications).

While your account is active, we retain your data as needed to provide the service.

If you request deletion, we will delete your data within 30 days unless a longer retention period is required by law.

When you use the Arkoda Bridge, an optional local desktop component, the text of commands Jon runs on your behalf and their outputs are retained for 90 days to support audit logs and troubleshooting.

No file contents beyond the active session are stored.

You can export or permanently delete your bridge logs at any time from Account Settings.

Bridge data is never sold or shared with third parties.

Arkoda is not intended for individuals under 18 years old.

We may update this Privacy Policy from time to time.

If we make material changes, we will notify users by email.
